Front Desk Receptionist

Resource Centre Suicide Prevention

The Resource Centre for Suicide Prevention in Grande Prairie is seeking a Receptionist.

Basic duties will include completing general office duties, answering and directing phone calls, assisting with various aspects of programming, including writing, reporting, training and workshop support, crisis intervention and bereavement support, as well other duties. You have:

  • Some post-secondary education or equivalent experience
  • Good organizational and time-management skills
  • Computer literate, including knowledge of spreadsheets, data collection and graphic design programs such as Illustrator
  • Strong interpersonal and communication skills
  • Ability to work collaboratively and/or independently, as needed
  • Must be flexible
  • Ability to task-switch, detail orientated, follows instructions
  • Crisis and suicide intervention skills (training will be provided)
  • Have a valid driver license and access to a reliable vehicle
  • Criminal Record Check and CYIM Check are required

You will:

  • Greet and direct visitors
  • Answer phones and direct calls or messages to the appropriate person and/or program
  • Maintain filing system, and general office procedures.
  • Monitor and maintain office supplies
  • Mail and postage purchase
  • Photocopier – including maintenance, ordering supplies, tracking copies
  • Assist with requests for information

Help support our programs:

  • Photocopying of materials for RCSP Core program and other programs as required
  • Purchase of program supplies as requested by program coordinator and approved by the Executive Director
  • Compile necessary program stats and information for Annual Report

Support the Executive Director in Financial Management by:

  • Make regular bank deposits as needed
  • Ensure the Receiver General Remittance is to the bank by the 15th of every month
  • File invoices and photocopy financial reports as requested

Assist the Board:

  • Attend and take minutes at monthly board meetings (9 per year)
  • Assist Executive Director in distribution of board meeting materials
  • Attend and take minutes at Annual General Meeting, assist in planning same

Assist with Program Evaluations:

  • Assist with presentation tracking for all programs
  • From presentation/training evaluations, collect and enter all data, including outcomes questions on master spreadsheets
  • Provide detailed reports as requested

Support the Workshops:

  • Monitor incoming registrations and confirmations for all workshops
  • Organizing the Training Room and/or meeting room for the pending workshop
  • Order materials as requested by the Connect Coordinator
  • Prepare handouts for all workshops.
  • Liaison with Centre for Suicide Prevention for workshop delivery, ensuring attendees have paid their registration and resolve any certification issues that may arise.

Take Crisis Calls & Provide Support: (training provided)

  • Handle crisis calls and walk-ins
  • Provide information, support, and referrals for staff involved in crisis calls and interventions.

Manage Social Media, Website and Materials

  • Maintain and manage social media, primarily Facebook
  • Maintain and manage website, updating as needed
  • Maintain online resource library, ensuring new information is uploaded and links are working
  • Design and develop new materials and handouts, or coordinate design and development of same with chosen supplier
  • Manage advertising as required

Assist the Suicide Prevention Resource Network Advisory Committee:

  • Attend Suicide Prevention Resource Network Meetings (3 annually), prepare and distribute minutes as required
  • Ensure meeting invites are distributed and rsvp’s are collected.
  • Distribute the Meeting Agenda and any correspondence as directed by the Executive Director.

Other:

  • Provide support to the Fundraising Committee
  • Other duties as assigned
